AIT email signature builder

Fill in your details, copy, paste into Outlook. Everything else is set for you.

Your details

Seven fields, three of them optional. Nothing else about the signature is editable.

Use the address of the site you actually work from. If you are remote, clear the field and the line disappears — do not put down an office you do not sit in, and never a home address.

Fill in whichever you have. Leave a field blank and that line disappears. If you have neither a desk line nor a company mobile, leave both blank. Do not substitute the main switchboard number or your personal number.

How to install it
  1. Outlook for Windows · Press Copy signature above. In Outlook go to FileOptionsMailSignatures. Create one named AIT, click in the edit box, press Ctrl+V. Set it as the default for New messages and for Replies/forwards. Click OK.
  2. New Outlook and Outlook on the web · Press Copy signature. Go to SettingsMailCompose and reply. Create a signature named AIT, click in the box, press Ctrl+V (Cmd+V on a Mac). Select it for new messages and for replies. Save.
  3. Outlook for Mac · OutlookSettingsSignatures+. Name it AIT, click into the body, press Cmd+V. Close, then set it as the default for your account.
  4. Gmail · SettingsSee all settingsGeneralSignatureCreate new, name it AIT, click in the box and paste. Set it for new mail and for replies, then Save Changes at the bottom.
  5. Outlook on iPhone or Android · the phone app cannot hold images. Use the short text signature from the SOP instead. Do not paste this one.

If the paste comes in as plain text, use Download as .htm, open the file in Chrome or Edge, select all with Ctrl+A, copy, then paste into the signature box.

When something changes, come back here. Do not click into the signature in Outlook to edit a phone number or a title. Typing inside the block is the most common way a signature gets broken. Change the field here, copy, and paste over the old one.

What you may not change
  • No badges beyond the ones already in the block. The certification strip is fixed: ISO 9001, ISO 14001, ISO 45001, R2v3 and Top Workplaces 2026. Do not add, remove or reorder marks.
  • No quotes, mottoes, scripture, emoji or "please consider the environment" lines.
  • No extra logos, photographs, banners or campaign images.
  • No colour, font or size changes. The type is Arial by design, because email clients cannot embed the AIT brand font.
  • No home address, no fax, no personal social accounts.
  • The confidentiality notice is added automatically to outbound mail. Do not paste one into your signature.
